Draft from the legal pack, for solicitor review before launch.
This notice explains what MyBillChecker does with your bill and details, in plain words. Penn Ltd, trading as MyBillChecker, decides how your data is used and is responsible for it. Contact us at [email address].
What we collect and why
| What | Why we use it | Our legal reason |
|---|---|---|
| Your bill (image or typed charges) | To read it and run the check you asked for | Providing the service you asked for |
| The figures read from your bill and the result | To show you the result and your options | Providing the service you asked for |
| Your name, email, postcode and optional details | Only if you save your result or ask for services such as reminders | Providing the service you asked for |
| Your reminder choice and email address | To send the one reminder you ticked a box for | Your consent |
| Which providers you ticked to receive your details (Phase 2) | To pass on only what you agreed, to the providers you named | Your consent |
| Records of your ticks and what you agreed to | To prove what you chose, and to honour withdrawals | Our legal duty and legitimate interest in keeping proof |
| Technical data such as device type and security logs | To keep the site secure and working | Our legitimate interest |
We do not ask for bank login details or card numbers to check a bill. You must be 18 or over.
We may also use figures from bills, with names and contact details removed, to produce combined statistics, such as how often a type of charge is wrong. We may share those statistics. They cannot identify you.
If you join a waitlist for a bill type we do not check yet, we use your email only to tell you when that checker is ready. You can leave the list at any time.
If you saved your result, we may ask you once to review us on [independent review platform]. [Solicitor to confirm the legal basis for review invitations.]
Who else handles your data
We use trusted companies to run MyBillChecker. They act only on our instructions and have contracts with us.
- [Hosting and database provider]: stores your data.
- [AI provider]: reads the figures on your bill image. The check itself is done by our own software.
- [Email provider]: sends your report or reminder.
- [Affiliate network]: records that a click led to a sale. It does not receive your bill.
We do not sell your data. At launch we do not pass your personal details to energy or phone providers. If that changes, we will only do it for providers you tick by name.
Where it is stored
Our database is stored in [UK or EU region]. Our AI provider may process bill images outside the UK, for example in the United States. Where that happens, we rely on contract terms that protect your data, as UK law requires. [Solicitor to confirm.]
How long we keep it
- Bill images: deleted automatically right after reading, and in every case within 7 days.
- Figures read from your bill and your result: [12 months], or until you delete them.
- Details you saved: until you delete them, or [24 months] after you last use MyBillChecker.
- Records of your ticks and consents: [6 years], so we can show what you agreed.
- Security logs: [30 days].
Your rights
You can ask to see your data, correct it, delete it, or object to how we use it. You can withdraw any tick at any time, and doing so does not affect your free bill check. Write to [email address] and we will reply within one month.
If you are unhappy, you can complain to the Information Commissioner's Office at ico.org.uk. We would like the chance to put things right first.
Decisions about you
We do not make decisions that have a legal or similarly significant effect on you using automated means. Our software flags figures that do not match. You decide what to do.
